A note from Chairman Len Tilney:
The District Chair for Club Services has the purpose to aid and assistant our clubs, connecting them with resources that can build strength and stability and to identify and assist clubs in danger of revocation or disbandment.
I would hope to take a pro-active rather than reactive position. I believe my duties will be to promote strong club administration, to connect club with resources, to identify at risk clubs and to coordinate district programs to strengthen them and to record the progress of our clubs towards honor and distinguished status. Every club is different, every area served by a club is unique, every club has different youth activities and community improvement programs. However, each club must have a strong administration which really means a strong president and club secretary and/or treasurer.
For our club presidents, you should prepare and use an agenda for each club meeting, make the meeting fun and interesting, have programs and review what the club will be doing during the upcoming months. While you should not conduct business at your club meetings, certainly the members should be informed of what committee assignments and jobs have been given and where the club is today and where it will be in the future. Make the club meetings interesting and informative. For club presidents, be prepared to meet your Zone Lt. Governor and advise him of your goals which your club has for the year. Complete the annual club planning conference report and be up front with your Lt. Governor so that he may know what you aspire to achieve, as well as the challenges that you face. For our club secretaries, please keep and maintain the minutes of all the meetings of the club and board of directors and business meetings; maintain all records of membership and attendance; prepare and file all reports with Optimist International and the district. For our club treasurers, keep and maintain all records of dues and monies collected and disbursed; submit regular financial statements to your Board of Directors; prepare an annual statement or budget showing the expenses for club activities and income necessary for those activities, as well as preparing a separate youth budget showing the expenses of the youth activities and what fundraisers will be used to fund those activities. Be sure to pay district Optimist International dues and assessments on time.
